Clause for AST and/or Application Form
1.1 The Tenant agrees to the Disclosure of Tenant’s
personal details to One Utility Bill Limited (“One Utility Bill or
OUB”) , Beecroft Estates (“Beecroft Estates”), and the incumbent
Energy Supplier for the purposes of Utility Registration.
1.2At the start of the Tenancy, gas and electricity
will be provided, or will be in the process of being provided by the
incumbent Energy Supplier, the details of this supplier information
will be communicated to the tenants by One Utility Bills customer
service team via phone call and/or email. The tenants are not in a
contract with their incumbent Energy Supplier and are free to choose
any Energy Supplier option available to them.
1.3 The Tenant agrees that Beecroft Estates may pass
the Tenant’s name, phone number, email address, to One Utility Bill,
for the purposes of;
- registering the gas and electricity meters at the property in
the Tenant’s name with the incumbent Energy Supplier providing
gas and electricity to the Tenant and administering the Tenant’s
account with the incumbent Energy Supplier if applicable;
- registering the Tenant with the incumbent water supplier to the
property.
- informing the relevant district Council, for your property, of
the new tenancy commencing, if required.
The incumbent water supplier may contact the Tenant in order to
provide further information about its services and products and
conclude an agreement with the Tenant for those services and
products.

1.4 Beecroft Estates will only process data on
behalf of One Utility Bill. One Utility Bill will use the Tenant’s
details only for the purposes set out above and not in any other
way. One Utility Bill and Beecroft Estates will comply with their
obligations as a data controller and/or data processor (as
applicable) under the General Data Protection Regulation effective,
as of the 25th May 2018.
1.5 One Utility Bill will handle Tenant’s data in
the manner set out in One Utility Bill’s standard Terms and
Conditions and/or Privacy Notice. One Utility Bill will not
hold any personal details longer than is necessary and will only use
it for the purposes as set out above in a lawful manner. Our Data Retention Policy is available on the
One Utility Bill Website.
Clause for Landlord Agreement
1.1 When the Landlord’s property is let, gas and
electricity will be provided by the incumbent Energy Supplier
1.2 One Utility Bill will never contact the Landlord
directly and will not hold any personal details longer than
necessary, in line with our Data Retention Policy. Your information will
be stored securely and handled in a lawful manner as explained in
our Privacy Notice found on our Website or here.
1.3 The Landlord agrees that Beecroft Estates may
pass personal details and details of the property to One Utility
Bill for the purposes of:
- Registering the property under the name of “the occupier” with
the incumbent water supplier.
- registering the new Tenancy details for gas, electricity, water
and council tax.
- Informing the incumbent suppliers of the liable party for any
void periods.
1.4 One Utility Bill will use the Landlord’s details
only for the purposes set out above and not in any other way.
1.5 One Utility Bill and Beecroft Estates, will
comply with their obligations as a data controller and/or data
processor (as appropriate) under the General Data Protection
Regulation effective, as of the 25th May 2018 and will handle
Landlord’s data in the manner set out in our Privacy
Notice.
2 Disclosure of Tenant Details to Homebox:
2.1 Our company work with Homebox to ensure that
utility suppliers are notified of a change in occupancy. This is
important work to be completed to ensure that the supplier of gas,
electricity, water and council tax are aware that you, The Tenant,
are responsible for the services within the property.
2.2 By signing this agreement, you agree that our
company can share your details (first name, last name, email address
and mobile phone number) with Homebox, in order to send your
information to the suppliers of gas, electricity, water and council
tax once your tenancy is confirmed.
2.3 Homebox will send you a series of text messages
and emails explaining and providing you with options for how to set
up your bills and explaining who your suppliers are for your new
home.
2.4 You can opt out of communications from Homebox
at any point
3 Disclosure of Tenant Details to preferred energy
supplier
3.1 As part of this agreement, you indicate your
consent to your personal information being passed to Homebox, who
will attend to the continuity of your energy and service supply by
passing your details over to the current utility providers,
Homebox’s preferred supplier where the property has gone through the
void switching scheme.
